Administrative Assistant – Finance Dpmt.

We are seeking a highly organized and detail-oriented Administrative Assistant to support the Finance Department. This role reports directly to the Director of Student Finance, with additional working relationships with the Financial Controller and Chief Financial Officer (CFO). The role also maintains dotted-line connections to both the Yeshiva Administrator and the Head of Seminary to ensure seamless coordination on program data, student records, and external reporting. The successful candidate will support internal finance processes and serve as a key liaison with partner organizations.

Duties include:

  • Olami Portal Management
  • Setting up the grant request for each program
  • Submitting the grant request at the end of the program
  • Ensuring that the Yeshiva office updates the Olami portal with accurate student arrival and departure data
  • Collaborating with the Yeshiva Administrator and Head of Seminary to verify timely data input

 

  • Datot Portal Management
  • Maintain a rolling spreadsheet of student details in preparation for Datot uploads.
  • Format data ahead of successful uploads (in September, January, and May)
  • Remove students from the portal immediately upon departure
  • Act as the Datot Portal Interface, relaying needs between the Yeshiva/Seminary and Finance (e.g., updated schedules, hours).
  • Coordinate with both the Yeshiva Administrator and Head of Seminary for accurate and up-to-date records.
  • Manage the Datot Portal database and produce reports of student lists when needed
  • Update the portal with proposed trips and trip changes

 

  • Grant & Funding Research
  • Proactively identify grants and funding sources for Yeshiva and Seminary programs (both Olami and beyond)
  • Research eligibility criteria and recommend qualifying programs based on student or institutional profiles

 

  • External Finance Partner Coordination
  • Support financial and documentation processes for program partners
  • Managing data and submission processes with external databases
  • Submitting required forms and reports
  • Coordinating with parents, students and partner organizations to gather information or resolve issues

 

  • Administrative & Operational Support
  • Maintain accurate financial and student records.
  • Support general administrative functions across the Finance, Yeshiva, and Seminary teams.

 

Required Qualifications:

  • High level of discretion and professionalism in handling sensitive student and financial data.
  • Exceptional organization and attention to detail.
  • Proficient in Google Workspace and spreadsheet tools.
  • Efficient and professional in email and written communication.
  • Strong interpersonal skills; capable of working with diverse stakeholders.
  • Fluency in English and Hebrew.

 

Work Hours & Location:

– Schedule: 6 hours per day, 5 days per week.

– Work Arrangement: Hybrid (in-person and remote as appropriate).
